Fredrick Oak is seeking a Policy Assistant, who will be responsible for providing comprehensive administrative support to ensure smooth daily operations within the organization.
This role involves handling incoming calls, responding to inquiries, and assisting in various administrative tasks such as filing, scanning, and photocopying.
Providing overarching administrative support functions for the Policy Division, to include the below specific duties, as well as similar and/or related administrative functions.
Duties may include:
*Duties and Responsibilities:*
* Manage correspondence, ensuring compliance with HC correspondence requirements, including proper formatting, of templates and deadlines.
* Conduct general review of documents to ensure formatting and editing meets HC requirements.
* Provide routine assistance to customers such as resetting passwords to HC-Policy owned systems, creates/maintains logs, tracking forms, and spreadsheets proficiently using various Microsoft Office Suite.
* Manage various shared email (inboxes) to ensure timely responses to customer requests/inquiries; coordinating with appropriate SME to ensure responsiveness.
* Provide administrative support during meetings, and trainings (i.
e.
, monitoring incoming questions, messages, slide advancement, taking notes, drafting meeting minutes, and providing hand-outs).
* Assist the Policy Subject Matter Experts (SMEs) with developing, writing, and issuing ad hoc reports.
* Respond in a timely manner to various data calls.
* Communicate and coordinate with the Policy SME concerning suspense dates, due-outs, meeting deliverables, etc.
Follow up with SMEs as needed including managing reminders.
* Coordinate efforts and sharing final correspondence with HC stakeholders by following appropriate guidelines for internal release (i.
e.
, online publication, etc.
).
*Required Skills/Abilities:*
* Proficient using Microsoft Office Suite (Word, Excel, Teams, PowerPoint, and Visio).
* Excellent written and verbal communication skills.
* Experienced in coordinating meetings and managing calendars.
* Excellent time management skills with a proven ability to meet deadlines.
* Ability to prioritize tasks.
* Proficient in editing, and formatting correspondence, reports, etc.
*Education and Experience:*
· High school diploma required.
Bachelor’s degree in human resources, or related field preferred.
